What is IRIS? What is the use of the registry?
The IRIS registry (Indian Registry of IntenSive care) is a cloud-based registry of Intensive Care Units (ICUs) with the primary objective of evaluating outcomes from critical illness in India. As part of this endeavor, routine de-identified patient data - on demographics, co-morbid status, vital parameters, reasons for admission to ICU, severity of illness and outcomes - is collected. The registry will help us to understand the epidemiology of the critical illness in Indian patients, and also will help to improve the quality of the care and enable future multi-centre research collaborations.

How do I login to the IRIS registry?
You and designated users from your ICU will be given a secure user ID and password, with which you will be able to login to the registry. For patient confidentiality and privacy reasons, access is restricted to authorized users.

Will I be trained on data collection and data entry?
Yes, one of our IRIS team members will give you an orientation/training on data collection and entry. The training will either be done in-person or remotely using tele-conference applications such as zoom/skype.

What are the variables that need to be captured at admission?
Parameters such as demographic details, reasons for admission, details of severity of illness (e.g. need for mechanical ventilation, vasopressor requirement etc), ABG, vitals, GCS, Blood investigation details and co morbidity status need to be collected at admission.

What if any one of the parameters/variables are not available or not done at the time of ICU admission?
Our data entry guidelines document details how and when variables need to be collected and entered. Please refer to the data entry guidelines for data that is missing or unavailable.

What can I do if a particular variable is not available?
If a particular variable is not available or the particular test is not done, you can leave the corresponding field blank. However, you are requested to capture all the mandatory fields without fail. Please also, refer to the data entry guidelines for data that is missing or unavailable.

What If the diagnosis is not available in the diagnosis category list?
For the patients’ diagnosis, try to select the appropriate diagnosis from the given list. If diagnosis is not available in the list choose the other diagnosis option and type the diagnosis in the provided text field.

What If the antibiotics given to the patient are not available in the antibiotics list?
For antibiotics, try to select the appropriate antibiotic from the given list. If the antibiotic is not available in the list, choose the other antibiotics option and type the diagnosis in the provided text field.

How can I search and confirm, whether I have already entered a particular patient’s data in the registry?
You can search and confirm whether you have entered a particular patient’s data in the registry by the following methods.
Go to search option, enter the patient’s Medical record number along with or without admission and discharge date and click on ‘Search’.
If you have already entered the particular patient’s details, you will find the patient name, MR number along with date of admission and date of discharge, in the search results, alternatively, go to search option, select a particular date/month option, give the start date and end date. In the search results, you will find the list of patients along with MR numbers, entered in the specified duration of time. If you had already entered the particular patient’s details, you will find the patient name, MR number along with date of admission and date of discharge, in the list. -
Where can I view the entered patient data in the registry?
You can view the entered patients list in the patient dashboard. The entered patient data will be available in the patients’ dashboard until the patient is discharged. Once the patient is discharged from the ICU, you will no longer be able to view his/her data in the dashboard. The data is however saved on the server and if you need access to this information, please contact us. No data is lost once entered.

Can I edit already entered values? Can I add missing values to a record that is already saved? Can I make corrections to wrongly entered values?
Yes, if the patient is still available in the dashboard and not discharged, you can make corrections in case you have entered erroneous values. You can also update missing values.
Search the patient whose details needs to be updated (see question 9). Make the changes and save the changes by pressing the save button option (Floppy drive icon).
Please note that if the patient is discharged, the data will be moved from the dashboard and you will not be able to edit details. You will have to contact the Data operations team for making the corrections. -
Can I review the monthly data/report for my unit?
Yes, you will be able to view and download the monthly patients' data (aggregate data) using the report tab provided by the registry. You can also ask for access to the raw data through the ‘extraction request’ feature on the IRIS website.

Can I access the severity of illness data for all the patients entered in the registry?
Yes, you can get the severity of illness (APACHE II) score for all the patients entered in the registry. Additionally, you will also have access to a prognostic model developed exclusively for patients in resource limited settings called the e-TropICS.

What do I do when I face network related or registry related issues, while entering data in the registry?
If you face network related or registry related issues please call the IRIS troubleshooting team or post the error in the IRIS data operators’ Whatsapp group.

Does the registry have the option to delete duplicate or incorrect data?
Yes, the registry has the option to delete duplicate data. You can delete the duplicate/incorrect data by opening the duplicate data and clicking on the trash button. Please note that once you have deleted the data, it is permanently erased and cannot be retrieved.

Should I include patients who stayed less than 24 hours or died within 24 hours in the ICU?
You are requested to enter all the patients' data admitted to your ICU, irrespective of the time they were admitted.

Are the data entered by us safe? Will anyone other than the authorized personnel be able to view the patients’ personal and clinical data?
All patient data will be kept confidential and the data privacy will be maintained throughout. No one can access your patients’ personal and clinical data other than the authorized personnel.
